Privacy Policy

StayLedger is a property handover and inventory tool for short-term rentals, operated by Godji Tech (“we”, “us”). This policy explains what personal information we collect, why we collect it and the choices you have. If anything here is unclear, email us at hello@godjitech.com.

Who this policy covers

Owners and managers create an account to set up properties, inventory, house rules and stays. Guests use a stay link and access code sent by their host and do not create an account.

Information we collect

Owners and managers

Account details: your name, email address and, if you provide them, your phone number and company name.
Sign-in details: if you sign in with Google or Apple, we receive your name, email address and profile picture from that provider. We never receive your Google or Apple password.
Property content: addresses, contact details, photos, inventory lists, house rules, guides and anything else you add about your properties.

Guests

Your name and the email address or phone number your host entered for your stay. We use it to send you a one-time passcode.
What you record during your stay: check-in and check-out inspections, item counts and conditions, photos, notes, issue reports, house-rule acknowledgements and reviews.

Everyone

Technical data needed to run the service, such as session cookies, timestamps of actions and, if you turn on notifications, a push notification token for your device.

How we use information

To provide the service: sign you in, show your properties and stays, and keep a timestamped record of each stay.
To send one-time passcodes and notifications about a stay.
To keep the service secure and to investigate misuse.
To respond when you contact us.

We do not sell personal information, and we do not use it for advertising.

How Google user data is used

When you choose “Continue with Google”, we request only your basic profile (name, email address and profile picture). We use it solely to create and sign you in to your StayLedger account. We do not access your Gmail, Drive, Calendar, contacts or any other Google data, and we do not share Google user data with third parties except the service providers listed below, who process it on our behalf.

Who can see information

The owner or manager of a property can see what guests record about stays at that property, including photos, notes and reviews.
Guests can see the property information their host chooses to share for their stay, such as house rules, guides and entry details.
Service providers that host and deliver the service for us: Supabase (database, file storage and sign-in), Netlify (website hosting), Google and Apple (sign-in, if you choose it), Resend (email) and Twilio (SMS) for passcodes, and Expo, Google and Apple for push notifications.
Authorities, where the law requires it.

Cookies

We use only the cookies needed to keep you signed in and to keep a guest session active. We do not use advertising or tracking cookies.

How long we keep information

We keep account and property information for as long as the account is open. Stay records are kept as part of the property’s history until the owner deletes them or closes the account. One-time passcodes expire shortly after they are issued, and guest sessions expire automatically.

Security

Data is encrypted in transit, access is restricted so owners can only see their own properties, and guest access is limited to a single stay. No online service can promise perfect security, so please tell us straight away if you believe your account or stay link has been misused.

Your rights

You can ask us for a copy of your personal information, ask us to correct or delete it, or object to how it is used. These rights apply under laws such as South Africa’s Protection of Personal Information Act (POPIA) and the EU and UK GDPR. To make a request, email hello@godjitech.com. If you are a guest, we may need to involve the host whose property record your information forms part of. You also have the right to complain to your local data protection regulator.

Children

StayLedger is not intended for children under 18, and we do not knowingly collect their information.

Changes to this policy

If we make material changes we will update the date above and, where appropriate, let account holders know by email.
